Kudos Software Streamlines Head Office Management

Once the donor registers their details at the shop these are entered into the till and then passed onto head office so the donor can then donate at any shop. When a donated item is sold the details of the sale and donor's details are passed to a central head office system for processing. 

Head office handles retail gift aid confirmation letters, any refused gift aid donations and the eventual gift aid claim.

Till Hardware

Choose between using a standard PC with a touch screen monitor, till drawer and receipt printer plugged in, or a specialised PC EPoS Touchscreen Terminal as pictured on the left. In either case your EPoS till is a proper computer; so it can be used for email, web access and document printing as well as your everyday retail needs.

Retail Gift Aid can be effortless and cost effective, and can even cut down on your admin time.

Retail Gift Aid is the term used to refer to gift aid which comes from the proceeds of the sale of donated goods, such as clothes in a charity shop.

The donated goods are sold on behalf of the donor and then, with the donors permission, the charity can claim back the tax already paid to HM Revenue and Customs. The charity acts as an agent for its supporters by selling the donated goods in the hope that once the item has been sold the proceeds will be given to the charity.

In order to process the Retail Gift Aid the donor is required to complete a Gift Aid declaration, the charity must then keep a record of the proceeds of the sale of each item and after the goods are sold must then write to the supporter to confirm that they want to donate the sale proceeds to the charity.

The process required by HMRC can seem complicated and because of the paper trail involved many charities are missing out on the increase in profit that Retail Gift Aid provides.

Retail Gift Aid collection at the Shop

• Donors register by completing a Gift Aid declaration form; their contact details are entered into the till and a Donor Card is issued along with a unique donor ID number.

• Donated goods can now be brought to any branch, regardless of where the donor registered, and the bags labelled with the donor's ID number.

• The donated goods are cleaned, priced, labelled with the donor ID number and put out into the shop.

• When a donated item is brought to the till for purchase - the price, product category and donor ID number is entered into the till.

• If a shop donor forgets their card a simple search will find their record on the till.

• Easy blacklisting for donors who choose not to donate the sale proceeds  - with one click let other shops know not to except more goods from that individual.

Retail Gift Aid collection at Head Office

• Shop donor records are automatically available, along with the value of donated goods sales for each donor.

• A donor confirmation letter batch is automatically printed when requested.

• After a defined period the values are automatically added to a gift aid claim table.

• Gift aid claims can be printed out or passed to Charity CRM system for claim.

Kudos EPoS at CLIC Sargent: Just a very clever Till

Retail Gift Aid Claim, Improved Shop Management and Accurate Reporting

Why choose Kudos Software?

Jeremy and his team chose Kudos Software from a short list of half a dozen or so EPoS till systems, all supposedly filling the same brief. In the end two main things swung the decision in Kudos’ favour.

Kudos’ priority was day to day shop operation; others stressed their reporting functions and features. “Kudos had understood our first requirement – dealing with people frightened of computers. This had been our first challenge and they addressed it right from the start. We worked with them to achieve a solution which would meet our requirements. Most of it was ‘off the peg’ but there were adjustments made specifically for the charity world like reclaiming the Gift Aid on donated items which will earn us so much more for very little extra effort. The Gift Aid card has had an added benefit in that we now know who our shop supporters are and can reach them.”

The second determining factor was that “Kudos was very competitive on cost – a necessary requirement both for our sector and in these very difficult times. We can’t be seen to be spending money unnecessarily when it has come from donations.”

Bob Powley, Head of IT for CLIC Sargent, said that the response to the new till system has been unusually positive – mostly we find our volunteers don’t like change, but they have got the hang of it all very quickly, and our shop managers find that communication with Head Office is both easier and quicker. Although most till systems can produce reports, the fact that the Kudos till system collates all the data automatically, means that communication between the shops and Head Office is effortless, and the people in merchandising can keep an eye on what's selling and make more informed decisions.

How did it work in practise?

At CLIC Sargent’s Saltash shop there were a number of areas where the people on the shop floor agreed with those at Head Office.

Chris Peters, the Store Manager, says that after a few hiccoughs, having the touch screen till with the large format buttons has led to far fewer keying mistakes. At first the often elderly volunteers were worried about the touch screen but Anya, her assistant, had the bright idea of issuing them all with rubber tipped pencils which have proved popular and means that they are all much more accurate when using the touch screen. They don’t think of it as a computer, just a very clever till.

Chris says that the end of day report is a big help to her as it puts all the sales automatically into categories. Previously she spent ages after the shop had shut, correcting mistakes, manually filling in reports and putting sales in the right columns. The time she saves is a real bonus as it is a very busy shop.

So shop volunteers, store managers, head office staff and strategic decision makers in the charity sector are all finding life improved and costs saved by Kudos Software. Add to that a projected gain of £100,000 pa from the same shops and it looks as if Clic Sargent made the right choice.
