Convenience Store Achieves 2% on Margin and Increases Business Productivity!

Running a busy convenience store is challenging - customers expect a wide, well stocked product range, competitive prices and fast service.

When Johns of Instow Convenience Store installed Kudos, they expected it to help them manage their stock and retail sales more effectively. It’s done that – and also produced a more impressive direct benefit - a 2% increase in margin.Johns of Instow Shop Till

"We buy more effectively and Kudos helps ensure that we always have the right stock on the shelves,” Anthony Johns explains, “in retail conveniencing the focus is on additional sales – a customer comes in for milk and buys 5 other products as well. If you haven’t got the core item, often you’ve lost the entire sale”.

Multi-buy offers and sales promotions are at the heart of Johns strategy here, and Kudos' software has met their requirements effectively. With a high customer throughput in this convenience store, Johns have chosen programmable touch screen tills  to speed customer service at the point of sale and categorise their products for more effective reporting. The till has fully Integrated Chip & Pin which cuts back office till reconciliations and simplifies cash backs for improved customer service, a big saving for a high throughput retail business. It also ensures that errors are eliminated as there is never a need to key sales totals in manually meaning time is saved all round.

The results - happy customers, a more profitable business and an effective retail system to run his store.

SuperYacht Marina in Seychelles chose CounterPoint to Run their VIP Lounge

So you fly into the Seychelles to join your million(s) pound super yacht, berthed at SuperYacht Services new dedicated Marina facility in Mahé. While your bags are being set aboard, what do you do? You go to the VIP lounge on the dockside.

SuperYacht Services in the Seychelles contacted Kudos to provide a tilling solution for their new VIP lounge and bar. They already used Access Accounting and needed a system that interfaced with Access Dimensions but they also needed a configurable solution and one supported with retail expertise.

Kudos Software was a “one stop shop” for the SuperYacht Marina as we were able to source a suitable epos terminal for their interior designed lounge and also able to provide the necessary training and configuration expertise. They chose our Kudos CounterPoint product, specially designed to run a real time interface with Access. Kudos' CounterPoint solution handles the sales of products on the Access stock records, allowing charging to cash, customer tab or account at point of sale.

The retail equipment was shipped preloaded, and Kudos Software's Tom Hole followed along to optimise the configuration. He trained a team of seven including Guybert, Head of Accounts Department, Sylvie who runs the office and bar, and Dominique from their IT department. Some of the training was on site at the Marina, some at their head office.

The major requirements for the bar was that the retail system had to integrate into Access Dimensions and they also wanted the touch screen interface for their tills. They had the usual bar set up where customers at tables would open tabs and settle them when they left. The slight difference here was that some customers opened an account on Kudos (and in Access) if their yacht was berthed in the marina, and therefore they would want to put the bar tab onto their account and be invoiced in one go at the end of their stay.

Tom Hole Training the SuperYacht Staff
SuperYacht Services added the stock module to Access so that Tom could enter stock on Dimensions which then synchronised with CounterPoint. He was also able to setup stock quantities enabling full stock control all of the food and drinks, and setup users’ Dallas Keys to control access to the tills and to allow rapid processing of many overlapping till transactions. He also set up the necessary multi currency requirements for this very international operation.

A busy few days at the marina left little time for Tom to enjoy the islands but with temperatures of 30 degrees and very high humidity, working in air conditioning was a bonus.

Tom came home satisfied that he had set up a super solution for the SuperYacht crowd!

Busy Caravan Dealership Gets Invoices out Faster and Improves Service

Somerset Camping and Caravans has 25 full time staff and usually some 60 caravans for sale – they’re Sterling Caravan Dealers. With shop, caravan forecourt sales, camping sales and caravan workshop, the beautiful site north of Taunton is a busy spot.

Their priorities for a new software system were straight forward. They needed a system to cover all their activities on the site which was easy to use and was backed up with excellent service and support. They use Kudos' software for caravan sales, shop, workshop and tent and awning sales. Kudos’ ease of use and maintenance impressed shop manager Colin Harlow:

“Putting down the stock bed was easy – 3500 lines and some 400 tents in under a month. The record management is very easy and much faster than previous systems. We book out parts to all departments and can be absolutely sure that everything is being charged. I have a much greater feeling of security that we know what’s happening to all the stock".

“Building and sending orders is much more accurate. The stock list is an excellent idea - it cuts the time I take for weekly orders by 75%. We designed our own goods received note so we check in the stock, Kudos prints the GR note and we use that to label the items before putting them on the shelf. It’s so easy – and very accurate".

Caravan workshop manager John Halford appreciates monitoring workshop job progress. “We’ve had better job management and stock allocation, being sure we have the bits we need has improved productivity. Having all the records in one place means I’m not backtracking looking for missing job cards or records. I monitor jobs better, we get invoices out faster and with the information to hand we give better customer service” says John.

Company Secretary and account Graham Buller reviews the story so far. He’s impressed that everyone has picked it up quickly, including the seasonal staff. “From previous experience we expected to have to track back errors due to learning problems, but I’ve been pleasantly surprised. Its ease of use has really paid off here. We have much better workshop control, with stock booked straight to the job card, reducing missed items – that’s cut our costs” comments Graham.

For Graham and the team, Kudos does all that they failed to find before.

“In a nutshell, Kudos has delivered better customer service and improved management control of what’s actually happening.” says Graham.

Kudos at CLIC Sargent: Just a very clever Till

Retail Gift Aid Claim, Improved Shop Management and Accurate Reporting

£100,000 anticipated extra income from Retail Gift Aid claims is a start, but CLIC Sargent have found better control, easier lives for store managers and shop volunteers, huge time savings and better management of bought in stock as Kudos' software is rolled out across their 28 shops. Kudos Software proved to be the right choice for Jeremy Lune, the CLIC Sargent Retail Manager.

Why choose Kudos Software?

Jeremy and his team chose Kudos Software from a short list of half a dozen or so EPOS till systems, all supposedly filling the same brief. In the end two main things swung the decision in Kudos’ favour.

Kudos’ priority was day to day shop operation; others stressed their reporting functions and features. “Kudos had understood our first requirement – dealing with people frightened of computers. This had been our first challenge and they addressed it right from the start. We worked with them to achieve a solution which would meet our requirements. Most of it was ‘off the peg’ but there were adjustments made specifically for the charity world like reclaiming the Retail Gift Aid on donated items which will earn us so much more for very little extra effort. The Gift Aid card has had an added benefit in that we now know who our shop supporters are and can reach them.”

The second determining factor was that “Kudos was very competitive on cost – a necessary requirement both for our sector and in these very difficult times. We can’t be seen to be spending money unnecessarily when it has come from donations.”Bob Powley, in charge of IT for CLIC Sargent, said that the response to the new system has been unusually positive – mostly we find our volunteers don’t like change, but they have got the hang of it all very quickly, and our shop managers find that communication with Head Office is both easier and quicker. Although most systems can produce reports, the fact that the Kudos till system collates all the data automatically, means that communication between the shops and Head Office is effortless, and the people in merchandising can keep an eye on what's selling and make more informed decisions.

How did it work in practise?

At CLIC Sargent’s Saltash shop there were a number of areas where the people on the shop floor agreed with those at Head Office.

Chris Peters, the Store Manager, says that after a few hiccoughs, having the touch screen till with the large format buttons has led to far fewer keying mistakes. At first the often elderly volunteers were worried about the screen but Anya, her assistant, had the bright idea of issuing them all with rubber tipped pencils which have proved popular and means that they are all much more accurate when using the touch screen. They don’t think of it as a computer, just a very clever till.

Chris says that the end of day report is a big help to her as it puts all the sales automatically into categories. Previously she spent ages after the shop had shut, correcting mistakes, manually filling in reports and putting sales in the right columns. The time she saves is a real bonus as it's a very busy shop.

So shop volunteers, shop managers, head office staff and strategic decision makers are all finding life improved and costs saved by Kudos. Add to that a projected gain of £100,000 pa from the same shops and it looks as if Clic Sargent made the right choice.

CounterPoint Pays for Itself in Time and Money!

Shared Earth is a growing chain of shops, selling third world ’FairTrade’ products through their 9 stores and their website. They installed their first Kudos CounterPoint till in late October 2008. By early December, they had rolled out CounterPoint across all their branches. We spoke to Director Paul Edmonson.

What led to the change of plan?

"Our previous solution had gone downhill in terms of service and support, and we were comfortable with Kudos size and personal touch, both in sales and subsequently support. It’s been very good, very personal. If a till has a problem, you need it fixed there and then because it costs money otherwise - that’s where the other company didn’t care. Kudos is different: I can ring up with a problem and that problem will be fixed as soon as it’s physically possible.”

How Did You Find The Training?

“We’ve not done a lot of training – I’ve found my way around it quite easily. Not good for Kudos, but it’s saved us quite a bit compared with the old system. We actually don’t need a lot of training on the tills - it’s very easy to use: technically idiot proof and self explanatory!”

What Was Most Important to You?

“For head office, what you want is business knowledge and access to information. If you make a sale, you want to know who made the sale, when the sale was made and where that sale is posted – you need to be able to follow the audit trail. But for the till user, it’s different – they want simplicity, functionality and they want it to look nice! It’s difficult to do both but Kudos does give us that functionality. I can go into the back office and get all the information whereas the till operators just have the touch screen and they’re happy.”

What About Multi Branch Aspects?

“We can go in to each branch and get all the information about what’s been sold and it’s all available both locally and at head office. This is very important because you’ve got to keep control of everything –and there’s the security issue as well.”

Has It Helped Ordering?

With CounterPoint, we have all the information to hand and we can very easily go in and see what individual shops need. If we left it to the managers, given their limits of time and the quantity of products we have, the chances of them getting their orders correct is very slim.”

How does it help Branch Managers?

“The biggest benefit is information – the fact that they can instantly see what their sales are, identify their best products and where they need to put on offers. Promotions are easy to use as well - we can set these up centrally. It does other things we’ve not had before - someone wants a credit note, and with a click CounterPoint prints one out. And if you want to sell a voucher – you just print a voucher off. It’s all these very handy little things that sit in the background that make life an awful lot easier, and keeps the queues down”

How Does it Pay for Itself?

“In time and money. With a functionality I didn’t have before and information I couldn’t get to before. From things being correct. Take stock takes; we have about a 10% error and most of that is not through theft but through errors at the till. CounterPoint will minimise that – it links into with our stock directly so if we change the price on stock - it’s on the till; if we add new products – it’s on the till. So that saves money because you’re selling products correctly, at the right price.

So the proof of the Kudos pudding at Shared Earth is in the eating – it looks like Kudos Software is the recipe they’ve been waiting for!

Kudos Copes with it all as Musto Take £1 Million in their Round the World Race Shop

When Musto took a mobile shop to the stopover points at the Volvo Ocean Race, they needed a resilient, easy to use system that had the flexibility to trade in different currencies and manage local tax rates.

Musto’s race shop recorded record takings at the Volvo Ocean Race – and it was all powered by Kudos’ Retail System. “We took the shop to 7 countries, traded in 4 languages and 6 currencies; our busiest day saw us taking over $80,000 and Kudos coped with it all” commented Fred Burden, Volvo Stopover Manager for Musto.

“Once again we were very pleased with the Kudos till system” Musto T-Shirts

This was the second time that Kudos had been used to run the Musto shops in the Volvo Ocean Race. This time round the till software was running the SQL platform, which allowed Kudos to develop more functionality and deliver faster operating speed.

Ease of use was important to Musto as they would have different staff at each stopover. The system also had to be resilient and reliable and backed up by round the clock remote technical support.

“Kudos once again proved to be robust, flexible and most importantly easy to use, as we had a huge number of temporary staff who were able to learn the system very quickly” says Mr Burden. “We had used the same software 4 years earlier and that knowledge together with the support and development offered by Kudos meant we were even more efficient this time around” he continued.

“With sales from around the globe of nearly £1 million we were very grateful to have the Kudos system.”

Modern technology meant that Kudos supported the whole operation from their Salcombe office with no need to ‘follow the fleet’ - making modern technology a bit unpopular with Kudos’ stay at home support team!

Builders Merchant Cuts Queuing and Increases Profits

Sheen Lane is a typical busy builders merchant, selling an assortment of building supplies and holding over 2500 lines of stock. With a team of 5 working at the site, they have over 100 account customers and have been running Kudos' software for over 6 years. The Manager, Mark, has seen significant savings in both time and money in that time.

Before Kudos, it was common to have long queues in the shop - now turnaround at the till has been drastically improved. “Having Kudos running the till has cut serving customer time by 75%. It’s just so much quicker” comments Mark. Having all the stock details stored on one central system means goods can be quickly looked up and scanned through the till. Customers don’t have to wait and the staff’s time is freed up to do other things.Sheen Lane Shop

With over 100 account customers, Sheen Lane saw improvements to general profitability. At the till goods are charged to account at the touch of a button, and then Mark prints the invoices at the end of the month. It’s accurate and saves them money. With Kudos' software, they can be sure that every sale is charged. “It used to take me over 2 days a month to work out the account customers bills and send them out. Now it takes me 15 minutes with Kudos!” comments Mark.

They buy better too. Orders used to be placed for goods from suppliers that weren’t necessarily the most competitive. “We simply didn’t have time to check out the prices” said Mark. With one central system handling all the stock prices and the suppliers, Sheen Lane can order far more economically. “I can take a look and see who does it cheapest straight away. There’s been a large cost saving as we are buying better and more efficiently”

The staff find Kudos easy to use. Mark likes the margin display at the point of sale. “It’s useful to be able to see what we are making on an item” he comments. He uses the main reporting function within Kudos every day to see a snapshot of sales and average sale value. “You know where you’re at, what you should be taking and it’s easy to see exact figures of how we are performing.” said Mark.

Derek, the owner, comes in once a month to print statements and allocate payments on accounts. “He’s very happy with Kudos” says Mark “I couldn’t put a figure on how much the system has saved us, but it would be a lot of money!”.
